To fulfill our vision, we are looking for a Student Services Assistant to join our team.
As a Student Services Assistant, your main mission will be to provide administrative, organizational, and student support to academic programs, ensuring the smooth operation of academic activities and delivering an excellent experience for students and faculty, in line with EADA Business School’s quality standards.
Key Responsibilities
Student and Faculty Support
Respond to student and faculty inquiries, both in person and via email.
Monitor and support students throughout the academic year, managing incidents and scheduling individual meetings when required.
Present the logistical aspects of the program to students.
Support faculty by providing the necessary information for the delivery and follow-up of their courses.
Academic Support and Planning
Support the course registration process, session planning, and classroom booking through the academic management system (ATLAS or similar).
Enter and update schedules, sessions, and changes in the system and on the Virtual Campus.
Monitor academic incidents (schedule changes, classroom assignments, faculty substitutions, overlaps, etc.).
Ensure classrooms are properly equipped before the start of each session.
Academic Management and Assessment
Support the logistical organization of examinations.
Oversee the delivery of teaching materials (regulations, study guides, exams, books) in collaboration with the relevant departments.
Manage the receipt of graded exams and assignments, as well as the recording of grades.
Organizational Support and Events
Provide support in organizing program-related activities and events (welcome sessions, workshops, institutional events, graduations, etc.).
Collaborate on general back-office tasks and coordinate with other departments.
Requirements
Studies in Administration, Education, Tourism, Philology, or related fields.
Minimum of 1 year of experience in administrative, academic, or customer service roles.
Languages: Advanced level of English (mandatory) and Spanish. A third language will be valued.
Proficiency in Microsoft Office tools (Excel, Word, Outlook).
Experience with academic platforms or management systems (ATLAS, Moodle, ERP, CRM) will be an asset.
Strong organizational skills and attention to detail.
Ability to coordinate and manage multiple tasks simultaneously.
Strong communication skills.
Proactive approach and service orientation.
